What a salary certificate includes
A salary certificate confirms that the person works with you and what they earn. It has:
- The company letterhead and the date
- The employee’s name, ID, designation and joining date
- The monthly salary, split into basic, HRA and allowances
- Gross salary, total deductions and net salary
- The annual CTC (optional)
- Why it was issued, such as a home loan (optional)
- The signature of HR or another authorized person
Salary certificate vs salary slip
A salary slip shows one month’s pay and is given every month. A salary certificate is a one-time letter that confirms the job and the salary. Banks often ask for both: the certificate and the last three payslips.

Banks and embassies compare the certificate with payslips, bank statements and Form 16. Copy the figures from your payroll records so they match. If they don’t, the employee’s loan or visa can be held up.
