Pre-screening forms that check the basics before the interview

Ask the must-have questions before anyone books an interview, like shift, license or expected pay. Candidates answer on a web form, on a phone call or in WhatsApp. People who qualify go straight to the AI interview.

Recruiters lose hours on applicants who cannot take the job

A job post brings in hundreds of applications. Many fail a basic requirement that one question would have caught.

The wrong shift or location

Someone applies for a night shift they cannot work. You find out halfway through the phone screen.

Pay far above the range

The candidate expects much more than the role pays. Nobody asked until the final round.

A missing license or certificate

A driver role needs a valid license. A forklift role needs a certificate. Resumes rarely say either clearly.

Set knockout rules for the things a role cannot do without

Some applicants cannot work weekends. Some have no driver’s license. Some expect pay far above your range. A knockout rule catches these answers as soon as the form is sent, so nobody on your team has to read them.

  • Yes or no: “Do you hold a valid driver’s license?”
  • Number: years of experience or expected pay, including ranges
  • Date: an earliest start date before or after a day you choose
  • Dropdown and multi-select: location, shift or certificates held

Build the form from eight question types

Ask text, number, yes or no, date, dropdown, multi-select, scored multiple choice and file upload questions. Mark each one required or optional. Ask only what decides whether someone can take the job, and leave the rest for the interview.

  • File upload collects a license, certificate or portfolio up to 5 MB
  • Show a question only when an earlier answer calls for it
  • Save a form once and attach it to other jobs
  • Collect the resume, LinkedIn profile and phone number on the same page
  • The resume is scored out of 10 against the job description

Candidates answer on a web form, on a phone call or in WhatsApp

On the web, the form opens from the apply link. On a phone call, Goodfit’s AI voice reads each question and writes down the answer. In WhatsApp, each question arrives as a message with buttons to tap. The rules are the same in all three.

  • Choose how candidates answer for each job
  • Yes or no and dropdown questions turn into buttons in WhatsApp
  • Spoken answers on a call are checked against the same knockout rules
  • Every answer lands on the same candidate record

Give answers points and set a pass mark

Some answers are better than others without being a deal-breaker. A scored question gives each option between 0 and 100 points. Goodfit adds up the points. If you set a minimum total, anyone below it is treated like a knockout.

  • Each option is worth 0 to 100 points
  • A skipped question scores zero
  • The total shows on the candidate’s card and report
  • Knockout rules and a minimum total can work together

Candidates who pass every rule go straight to the AI interview or a test

When every rule passes, the candidate moves on right away. They can start the AI interview or a test from the same page. Candidates who fail a rule see the message you wrote. They are marked Not a fit, and their answers stay on record.

  • Write one message for people who qualify and one for people who do not
  • Nobody on your team has to click approve
  • Your team gets a notification when a form fails
  • Results go to your other systems by webhook
  • Every form ends as Continues, Below minimum, Not a fit or Under review

Hold every form for review when you want a person to check first

Some teams want to read answers before anyone moves on. Turn on the review hold, and every candidate waits as Under review. That includes people who broke a rule. A recruiter then moves each person forward or out.

  • Candidates see an “under review” message
  • Nobody is turned away before a person has looked
  • Move one candidate or a whole group to the next step
  • Move anyone forward by hand, even after a knockout

Share one apply link or a QR code wherever you post the job

Each job gets a public apply link and a QR code you can download. Post the link on LinkedIn, a job board or your careers page. Print the QR code on a poster for a hiring event. Bajaj Capital posted a QR code on LinkedIn for an analyst role, and seven to eight interviews came in through it.

  • Share buttons for LinkedIn, WhatsApp, X and Telegram
  • Download the QR code as an image
  • The same person cannot apply twice while an application is open
  • Every channel opens the same questions

From application to scored interview in one sitting

The form asks whether a person can take the job at all. The AI interview then asks how well they would do it. Interview time goes only to people who meet the basics, and the whole path can run in one sitting.

  • Four to eight questions is usually enough
  • Leave questions about skills and experience for the interview
  • Automation rules can read whether the form passed
  • Every step is saved with its time on the candidate’s record

FAQ

Questions teams ask about Pre-screening Forms

How many questions should the form have?
Four to eight is usually enough. Ask only what decides whether someone can take the job, such as shift, location, license or pay. Leave skills and experience for the interview. Long forms lose applicants.
How is this different from the AI interview?
The form checks the must-haves in a minute or two. The AI interview asks open questions about the work and scores each skill. Put the form first so interview time goes to people who can take the role.
Can candidates answer by WhatsApp or phone?
Yes. Choose a web form, a phone call or WhatsApp for each job. The questions and knockout rules are the same in all three, and every answer goes to the same candidate record.
What if a knockout filters out someone good?
Every answer is saved with the rule it broke. A recruiter can move that person to the next step by hand. If you want a person to check every form first, turn on the review hold.
Can answers earn points as well as pass or fail?
Yes. A scored multiple-choice question gives each option 0 to 100 points. Set a minimum total, and anyone below it is treated like a knockout.
What do knocked-out candidates see?
They see the message you wrote for people who do not qualify, as soon as they send their answers. Goodfit does not send a separate rejection email, so you choose how to follow up.
Can a person review forms before anyone is turned away?
Yes. Turn on the review hold for the job. Everyone waits as Under review, including people who broke a rule, until a recruiter moves them.
What happens if a candidate leaves a question blank?
Required questions must be answered before the form can be sent. An optional question left blank never triggers a knockout. On a scored question, a blank answer earns zero points.
Can the same person apply twice?
Not while their first application for that job is still open. Goodfit keeps one live application per person per job.
Can we reuse one form across jobs?
Yes. Forms are saved in a library for your whole team. Build a form for store roles once and attach it to every store job.
