How to hire an Accountant

Accountants keep the financial records that everything else depends on. That means bookkeeping, reconciliations, legal filings and the month-end close. Every company needs these numbers to be right. Accountants often also handle sales tax or VAT filings, withholding tax and audit prep. The job is hard, and mistakes can have legal costs.

What is an Accountant?

An Accountant records, sorts and reports a company's money transactions. They make sure the financial statements are correct and follow accounting standards and tax law. The work runs in cycles. Transactions and reconciliations happen through the month. The books close at month end. Tax and legal filings have their own calendar, and an audit comes once a year. Above all, the work has to be exactly right. Close enough is not good enough.

The hiring challenge

Accounting hires need precision, honesty and stamina. Most interviews test none of these well. A candidate can talk smoothly about reconciliations and still not do them right every month. You learn more from three things. First, scenario tests: can they spot an error in sample data? Second, process questions: do they know the right order for the month-end close? Third, honesty questions: what do they do when they find a mistake a senior person may have made? Reference checks matter more for accountants than for almost any other hire.

What to look for in an Accountant

Four traits matter. Precision: do they catch errors others miss, and check their own work? Process discipline: do they follow the right order for close, filing and reconciliation? Or do they cut corners when time is short? Tax and legal knowledge: do they know the indirect tax rules, withholding limits and basic income tax rules in your country? Honesty under pressure: what do they do when a senior colleague or manager made the error?

Also check that they know your accounting software, such as QuickBooks, Xero, Zoho Books, Tally or your ERP. Check that they know the legal deadlines: indirect tax return dates, withholding deposit dates and the estimated tax schedule. And ask about audit prep. An accountant who has only done bookkeeping may not be ready to work with auditors.

Common mistakes when hiring Accountants

Not testing precision with real data. Theory questions about accounting rules tell you little. They will not show if the candidate can catch two swapped digits in a 500-row reconciliation. Give them sample data with planted errors and see if they find them.

Skipping the honesty question. Ask what they would do if a senior colleague might have caused a mismatch. Some candidates say "I would fix it quietly." Others say "I would raise it with the right person." You want the second kind.

Assuming all CAs are the same. A CA who spent three years in audit has different skills from a CA who spent three years in company accounting. Be clear about which experience your role needs.

FAQ

Accountant hiring questions

What does an accountant do?
They keep the general ledger and make sure it matches what really happened. They record and sort transactions. They reconcile bank, receivable, payable and intercompany balances. They post accruals and provisions and run the month-end and year-end close. They prepare financial statements, work out taxes and make legal filings. They also support the external audit and keep the controls that stop errors from creeping in.
What is the difference between an accountant and a bookkeeper?
A bookkeeper records transactions correctly and keeps the books up to date. An accountant explains and reports on them. They apply accounting standards and make judgment calls on accruals, provisions and when to count revenue. They also prepare statements and handle tax and audit. The difference is judgment. Recording an invoice is bookkeeping. Deciding which month its revenue belongs to is accounting.
What is the difference between an accountant and a finance analyst?
An accountant reports what happened, correctly and by the rules. A finance analyst uses those numbers to plan what comes next. They do budgets, forecasts and models. Accounting looks back and follows set rules. Analysis looks ahead and relies on judgment. Many analysts start in accounting. To switch, they have to get comfortable with good estimates instead of exact figures.
What are the main types of accounting?
Financial accounting makes the legal statements that outsiders read, under a set standard. Management accounting makes internal numbers for decisions, like costing and budgets. Tax accounting covers tax math, planning and filings. Audit checks whether statements are fair and true, either inside the company or from an outside firm. Forensic accounting looks into fraud and disputes. Most accountants pick one area after a few years, and the paths split a lot.
What qualifications do you need to become an accountant?
Most start with a degree in accounting or commerce. A professional qualification is what sets people apart. It comes from a chartered or certified accounting body. It usually takes exams plus supervised work experience. Qualified accountants earn a lot more. Some sign-offs can only be done by them. Many good accountants work without the qualification in roles that do not need it.
What is the month-end close and why does it matter?
The close is how you finish a period's accounts. You post the last entries and accruals. You reconcile every balance-sheet account and sort out any differences. Then you produce the financial statements. It matters because managers make decisions from those numbers. If the close takes three weeks, those decisions use old numbers. A fast close with clean reconciliations is one of the best signs of a healthy accounting team.
What skills does an accountant need?
They need to know accounting standards well. They also need the judgment to apply them to unclear transactions. They need reconciliation discipline. That includes looking into a small unexplained difference instead of writing it off. They need to know the tax rules where the company works. They should be fluent in the accounting system and in spreadsheets. They should know which weak processes invite fraud or errors. And they must stand firm on the right treatment when someone senior wants a different answer.
What interview questions should I ask an accountant?
Give them a transaction that needs a real judgment call. Ask how they would record it and why. This tests their knowledge of the standards better than definitions do. Ask how they handle a reconciliation with a small unexplained difference. Ask them to walk through their last month-end close and where it usually runs late. Ask about an audit finding they got and what changed after it. And ask what they would do if told to book something they think is wrong.
How do you screen accountant candidates?
Check qualifications, because they are easy to verify. But they prove knowledge. They do not prove judgment or care, and the costly accounting failures come from a lack of care. In the first round, ask every candidate the same questions. Pair a treatment scenario with a reconciliation or controls question, and score everyone on the same rubric. That lets you compare people fairly, whatever their qualification route or the size of their last finance team.
